Claude Desktop: Turn Claude into a Personal Assistant Connected to Your Email, Drive & Calendar

An easy guide to installing Claude Desktop, using Cowork screen sharing, and connecting Gmail, Drive & Calendar. With videos and examples.

JOYO Digital·

What is Claude Desktop and why does it change everything?

If you're still using Claude only through the browser, you're experiencing maybe 30% of what this tool can do. Claude Desktop isn't just "an app instead of a tab." It's a completely different experience. It's the difference between talking to someone on the phone and having them sit next to you, seeing your screen, your files, your email.

Enjoying this? There's more where this came from.

Practical guides, new tools, and AI & digital tips — straight to your inbox, once a week. Never miss a thing.

Here's what changes the moment you install:

  • Claude is always there. Press Alt+Space (Windows) or Option+Space (Mac) from anywhere on your computer and Claude pops up in a second. In the middle of writing an email? Working on a document? No browser to open, no tab to find. It's just there.
  • Fast, smooth, distraction-free. A separate app that doesn't compete for tabs. A clean, focused window that doesn't disappear among your 47 open tabs.
  • Claude sees your screen. With Cowork mode, Claude can see what's in front of you and help in real time. No copy-paste, no complicated explanations. It just sees and understands.
  • Direct file access. Claude can read and work on files directly from your computer. Documents, images, code, spreadsheets. Everything with direct access.
  • Claude Code: Claude builds real things. In the Code tab, Claude doesn't just talk about code — it writes it, runs it, and builds things directly on your computer. Websites, automations, scripts, tools. You describe what you need, and it builds.
  • Connectors: Claude is plugged into your life. Gmail, Google Drive, Google Calendar. Instead of copying and pasting information, Claude accesses your tools directly. It's like giving a personal assistant access to your office instead of running to fetch every piece of paper for them.

In short: Claude Desktop turns Claude from a smart chatbot into a personal assistant sitting next to you who sees everything. And in this guide, we'll show you exactly how to install, connect, and start using it.

Download and install in two minutes

The installation is so simple you'll be surprised. Two minutes and you're in.

Step 1: Download the app

Go to claude.ai/download and choose your operating system. That's it. One file downloads.

Step 2: Install

On Windows: Click the downloaded .exe file, click Next a couple of times, and wait 30 seconds. That's literally it.

On Mac: Open the downloaded .dmg file, drag the Claude icon to Applications. One second.

Step 3: Open and sign in

Open the app and sign in with the same account you use on claude.ai. Got a Pro subscription? Great, it detects it automatically. No subscription? You can start for free.

Step 4: Quick tour

Once you're in, you'll see a clean, pleasant interface:

  • Chat box in the center — where you type to Claude, just like sending a message to a friend
  • Conversation history on the side — go back to any previous chat with one click
  • Settings via the gear icon — that's where you connect the connectors
  • Three tabs at the top: Chat (regular chat), Cowork (Claude sees your screen), and Code (Claude builds things)

Cowork: Claude sees what you're doing and helps in real time

This is one of the coolest features of Claude Desktop. The Cowork tab lets Claude see your screen and help you while you work. No copying text, no explaining "I see a table with numbers here." It just sees what's in front of you.

Watch this short video to see how simple it is:

What can you do with Cowork?

Here are some examples that just work:

  • Working on a Google Docs document? Tell Claude "check this text" — it sees the document and fixes it
  • Opened a spreadsheet? Ask "what's the right formula here?" — it sees the table and answers
  • Browsing a website? Ask "explain what this says" — it reads what's on the screen
  • Working on a presentation? Ask "help me with the wording on this slide" — it sees and suggests
  • Got an error message? Ask "what's going on here?" — it sees the error and explains

Instead of copying and pasting text to Claude, it simply sees what's in front of you and helps. This saves tons of time and eliminates all the copy-paste. Once you get used to it, there's no going back.

Important tip

Cowork works best when you need help with something already open on your screen. For general questions or long conversations, the Chat tab is still the better choice.

What are Connectors and why do they change the game?

Now for the most exciting part. Connectors (also called Integrations) let Claude access your tools. Instead of copy-pasting from Gmail, Claude can read your emails, search files in Google Drive, and check your calendar — directly from the conversation.

Think of it this way: you're giving Claude "permission" to work with your tools. It doesn't do anything without you asking, but when you do ask? It goes straight to the information instead of you having to go fetch it. Connecting each one takes less than a minute.

Connecting Gmail — Let Claude organize your email

Watch this short video showing exactly how to connect Gmail — you'll see how simple it is:

How to connect (takes 30 seconds)

  1. Open Claude Desktop
  2. Go to Settings
  3. Find the Integrations or Connectors section
  4. Click Connect Gmail
  5. A Google window will open asking for permission — this is perfectly fine, Claude needs access to read your emails. Click Allow.
  6. Go back to Claude and test it: ask "What's the last email I received?" — and watch it answer instantly

What can you do with Gmail connected?

Just type to Claude in plain language, and it does the work:

  • "Summarize my emails from today" — get an organized summary of everything that came in
  • "Draft a reply to this email" — Claude reads the email and suggests a professional response
  • "Find the email from Sarah about the project" — smart search through your inbox
  • "Are there urgent emails I haven't replied to?" — Claude scans and identifies what needs attention
  • "Write a follow-up email to everyone who sent me a quote this week" — generates customized drafts

Connecting Google Drive — All your files are one question away

How to connect

  1. Same exact process: Settings > Integrations > Connect Google Drive
  2. Google permissions screen — click Allow
  3. Test it: type "Find the document about..." and watch Claude pull files from your Drive in seconds

What can Claude do with your files?

Claude can access files in your Google Drive — read documents, spreadsheets, and presentations. It doesn't change anything without you asking. It only reads and helps.

  • "Summarize this doc in three sentences" — condenses a long document instantly
  • "Find documents related to Project Alpha" — smart search across Drive
  • "Compare these two documents" — automatic difference analysis
  • "Find the spreadsheet with February sales data" — targeted search
  • "Turn this document into a proper proposal" — reads and rewrites

Connecting Google Calendar — Claude manages your schedule

How to connect

  1. Settings > Integrations > Connect Google Calendar
  2. Google permissions — click Allow
  3. Test it: ask "What do I have tomorrow?" and watch Claude know exactly what's in your calendar

Usage examples

  • "What do I have tomorrow?" — organized summary of all meetings and events
  • "When am I free this week?" — identifies open slots in your calendar
  • "Schedule a meeting for Thursday at 10am" — creates a calendar event
  • "Remind me what my next meeting is and prepare talking points" — reads the meeting and prepares a brief
  • "Do I have any conflicts next week?" — checks for overlaps

Tips to make your life easier

1. Start with Gmail

Don't connect everything at once. Start with Gmail, play around with it for a day or two, then add Drive and Calendar. This way you'll learn exactly what Claude can do and you'll be surprised how useful it is.

2. Talk to it like a person

No special language needed. Instead of "check my email," just say "find emails from John Smith from last week about the budget." The more specific you are, the more accurate the result.

3. You can disconnect anytime

If you want to disconnect a connector, just go back to Settings > Integrations and click Disconnect. No problem at all, you can reconnect whenever you want.

Frequently asked questions

What if a connector disconnects?

It happens sometimes, usually after an update or password change. Just go back to settings and click Connect again. Takes 10 seconds and you're done.

Does Claude store my data?

No. Claude reads your emails and files only when you ask, responds, and that's it. The data isn't saved on their servers after the conversation ends.

What about privacy?

Anthropic (the company behind Claude) is committed to privacy. Data that passes through connectors is encrypted and isn't used to train the model. Worth reading their privacy policy if this matters to you.

The permission isn't working. What do I do?

First, make sure you're signed into the right Google account (sometimes there are multiple accounts and Google picks the wrong one). Try disconnecting and reconnecting. If it still doesn't work, try a different browser or clear your cache.

Can I connect Outlook or other tools?

As of now, the built-in connectors focus on Google tools. For other tools, you can use external solutions like Zapier or Make.com.

The bottom line

Claude Desktop with connectors is Claude on steroids. Instead of copying and pasting information from different places, Claude just accesses your tools and does the work. It saves time, reduces errors, and lets you focus on what actually matters.

Installation takes 2 minutes. Connecting the connectors takes another 2 minutes. And after that you have a personal assistant connected to your email, Drive, and calendar. Just try it and see how it changes the way you work.
